The KarateBuilt Family Conference: What Happens Before Your Child Steps on the Mat

The Family Conference

A Family Conference is a private, one-on-one meeting between your family and our instructor team, held before your child ever joins a class. We use it to understand your child, walk through our Charter, and confirm the right program before anyone commits to anything.

I’ve conducted these conferences for thirty years, and I still run every one of them the same way I ran the first: as an assessment, not a pitch. That habit comes from my clinical training as much as my martial arts background. A clinician doesn’t recommend a treatment plan before an intake session, and a serious martial arts school shouldn’t recommend a program before actually meeting the child who’d be in it.

Parents calling KarateBuilt for the first time are usually comparing us against a free trial week somewhere else, a $99 starter special, or the twelve-week martial arts unit their child’s school already offers. Those are all valid starting points. They’re just different starting points, built for different outcomes, and it helps to understand the difference before you pick one.

What Is a Family Conference?

It’s a scheduled meeting, not a class and not a walk-in visit. Your child does not test, spar, or perform anything during it. Instead, we sit down as a family and cover the ground that a rushed sign-up table or a group trial class never gets to.

Here’s how it differs from the other common entry points parents consider:

  • A free-week bundle drops your child into a live class immediately, with no assessment beforehand. It’s a fast way to see what a class looks like, but nobody has evaluated your child’s needs before they’re on the mat.
  • A $99 starter package works the same way, just with a small fee attached and usually a uniform included. It’s still a group experience from day one, built for volume, not for one family’s specific goals.
  • A twelve-week in-school semester hands your child a rotating instructor and a fixed curriculum with no continuity plan once the semester ends. It’s convenient because it’s already on the school calendar, but it isn’t designed to assess your child or to continue past week twelve.
  • A Family Conference happens before any of that. We evaluate your child’s temperament, physical baseline, and your goals for them first, and we recommend a program based on what we actually observe, not on what fits a generic sign-up flow.

None of these options is wrong for every family. They’re built for different purposes, and the Conference exists for parents who want the evaluation done before the commitment, not after. A free week tells you what a class feels like. A Conference tells you whether that class, or a different one, actually fits your child.

How Long Does a Family Conference Take?

Plan on 45 to 60 minutes. We don’t rush it, and we don’t pad it.

A typical Conference breaks down like this:

  • 10 minutes: introductions and a conversation about why your family is considering martial arts right now.
  • 15 minutes: a direct, informal assessment of your child, covering how they move, how they listen, and how they handle a new adult giving them instructions.
  • 15 minutes: a walk-through of the KarateBuilt Charter, our written commitment covering curriculum structure, instructor standards, and what your family can expect month to month.
  • 10 to 15 minutes: questions, program fit, and scheduling, if you’re ready to move forward.

You’ll leave with a specific recommendation, not a menu of options to sort through on your own.

Who’s in the Room?

  • Your child, so we can observe them directly rather than take a parent’s description secondhand.
  • You, the parent or parents, since the goals you have for your child matter as much as what we observe.
  • A senior instructor or myself, depending on scheduling, always someone qualified to make a program recommendation on the spot.

If you have more than one child you’re considering enrolling, bring them both. We evaluate each child individually, even siblings, because temperament and readiness rarely match just because two kids share a household.

We don’t run these in a group setting with other families present. Every Conference is private, because every child’s starting point is different and deserves a direct answer, not a general one.

What Do We Cover in a Family Conference?

  • Your goals for your child. Confidence, focus, discipline, fitness, or specific concerns like bullying or attention at school. We ask directly and we listen.
  • A baseline read on your child. How they respond to structure, correction, and a new physical challenge, observed in the room, not guessed at.
  • The KarateBuilt Charter. This is our written standard for the school: what students are taught, how instructors are trained, how progress is measured through belt rank, and what a family is entitled to expect at every stage. We go through it line by line, not as a formality, but because it’s the actual agreement you’re entering.
  • Program and schedule fit. Which class times and program track make sense given your child’s age, temperament, and your family’s calendar.
  • Cost, plainly stated. Tuition, what it includes, and how it compares to the free week, the $99 starter, or the semester option you may have already looked at.
  • Whether you’ve already decided. Some families arrive certain they want to enroll. We run the same full assessment regardless, because knowing your child’s baseline matters just as much for a family who’s already decided as for one still weighing options.

Nothing here is a script. If your child has a specific issue you’re trying to solve, that’s the center of the conversation, not a side note.

What Happens After the Conference?

  • If we agree KarateBuilt is a fit, we schedule your child’s first class and set expectations for the first thirty days, including what progress looks like and when we’ll check back in with you.
  • If we think another path serves your family better right now, we’ll say so directly. That happens, and it’s a better outcome for your family than an enrollment that doesn’t fit.
  • Either way, you leave with the Charter in hand and a clear next step, not a follow-up call trying to close something you’re still unsure about.

We check in again around the thirty-day mark, whether or not anything has gone wrong. That’s built into the same standard the Charter describes: a family shouldn’t have to chase us down to find out how their child is progressing.

The Conference exists so the decision gets made with full information, once, instead of guessed at through a free week or walked back after a semester that didn’t deliver what you hoped.

Schedule Your Family Conference

If you’re deciding between a trial class, a starter package, a school semester, and an actual evaluation, start with the evaluation. It’s the only option built to give you a direct answer before you spend a dollar on the rest.

A Family Conference costs you 45 to 60 minutes. In exchange, you get a specific recommendation for your specific child, a copy of the Charter to review at home, and a clear picture of what enrollment would actually look like month to month, cost included. You’ll know exactly what you’re deciding on before you decide.

Call our Cave Creek school or use the scheduling link on our site to reserve a Family Conference time. Bring your questions. We’ll bring the Charter and a direct recommendation.

Sincerely,

Karate
